Hello, I am Yaroslav, one of the founders of the Seymartek company. I am looking for a secretary / office manager in our office who will help us maintain order in the workflow.

Seymartek is one of the leaders of congress activities in Russia in the field of metallurgy and mining. We started in 2014, and today at our conferences top managers of Russian and foreign industry enterprises meet, communicate and agree on cooperation, including such major ones as NLMK, Severstal, Evraz, Rusal, RMK, Norilsk Nickel, MMK.

We already have a wonderful secretary Alina, last year she went on vacation for several years (for the most wonderful occasion in her life). For a whole year, during the period of restrictions due to covid, we somehow managed. Now that the bans on mass events have been lifted, it has become difficult for us without a secretary. Therefore, we decided to accept the secretary for 1-2 years, until Alina’s return. When she returns from vacation, we will offer you another position in the company.

Our secretary, first of all, makes sure that timely document flow occurs for all our clients (sending contracts, acts, receiving counter documents, their accurate storage). Also, the duties include maintaining order in the office, buying all sorts of little things, coffee, water. On conference days, our secretary travels with all the staff to the venue, and at the reception helps with the registration of our guests. There are other common secretarial duties as listed below.

I am looking for such an employee who will responsibly and punctually carry out this important work.

What tasks will need to be solved:
– filling out standard contracts;
– control over the acceptance of acts on the work performed;
– ensuring the life of the office (providing stationery, water, etc., control between cleanings);
– documentary support for the hiring and dismissal of employees;
– assistance to managers with the registration of guests at our conferences (several times a year);
– business correspondence with specialized media, information partners of our events;
– buying tickets, booking hotels for business travelers;
– sending and receiving postal items, including at the post office;
– forwarding of incoming emails, calls to responsible employees. Requirements:
– completed secondary specialized or higher education;
– work experience as an office manager, secretary;
– knowledge of business etiquette;
– competent written and oral speech.
Preference for a candidate with experience of a long-term employment relationship in the resume.

Conditions:
– official employment;
– fixed salary 25,000 / month + bonus 5,000 rubles / month (on hand);
– work schedule 5 days a week, Mon – Fri from 10:00 to 18:00, lunch break 1 hour;

  8. Knowledge of English (will be an advantage);

Duties

  1. Together with the manager responsible for designing the event, the sales manager determines the circle of potentially interested customers and forms the basis for calls and communication via e-mail;
  2. Sales of participation in a business conference to the leaders of suppliers of goods and services (mining, metallurgical and agricultural enterprises of the country);
  3. Work is carried out remotely through telephone calls and e-mail, meetings are sometimes scheduled (Chelyabinsk, Krasnodar, Moscow);
  4. Formats of participation: from being present as a listener to participating with a stand, publishing events in a magazine and delivering a report to potential clients from the mining and metallurgical and agricultural sectors;
  5. Search and attraction of new corporate clients to cooperation;
  6. Work with an existing customer base;
  7. Conducting transactions in CRM;
  8. Direct participation in the finished project of a business conference, communication with top officials of representative offices of large companies;
  9. Getting feedback from the Customer after the event, entering into CRM.
